Privacy Policy
Last updated: 21 October 2026.
Who we are
The Neill Family Group (“we”, “us”, “our”) is an accounting and business advisory practice based at 46 Aitken Street, Gisborne VIC 3437. This policy explains how we collect, hold, use and disclose personal information through this website, neillfamilyaccounting.com.au, and in the course of providing our services to clients, in accordance with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth). As registered tax agents, we handle Tax File Numbers in the course of our work. This means we are bound by the Privacy Act and the Privacy (Tax File Number) Rule 2015 in how we handle that information, regardless of our size as a business.
The personal information we collect
Through this website, we collect only what you choose to submit via our contact form: your name, email address, phone number (optional) and the content of your message. If you become a client, we collect additional personal information necessary to provide our accounting, tax, superannuation and business advisory services. This can include financial, taxation, superannuation and identification information you provide to us directly, in the course of acting for you. We don't set out to collect sensitive information (such as health information) and will only do so where it's directly relevant to the advice you've asked for — for example, information relevant to superannuation or insurance advice — and you choose to provide it to us. We'll only use sensitive information for the purpose you gave it to us.
How we collect your information
We collect information directly from you — through this website's contact form, by phone, by email, or in person — and, once you are a client, through the ordinary course of providing our services (for example, documents and information you give us to prepare a tax return or provide advice).
Why we collect, hold, use and disclose your information
We use personal information to respond to your enquiry, to provide our accounting and advisory services, to meet our legal and professional obligations (including to the Australian Taxation Office and the Tax Practitioners Board), and for our own internal record-keeping. We don't use your information for any purpose beyond these without telling you. Where required by taxation law, we collect and use government-related identifiers — including Tax File Numbers and ABNs — strictly for the purposes permitted under that law, such as lodging returns and statements on your behalf. We don't use these identifiers for any other purpose.
Who we may share your information with
We don't sell your personal information to anyone. Where you submit our website contact form, your details are processed by Web3Forms, the third-party service that delivers the enquiry to us, and by hCaptcha, which we use to prevent automated spam submissions. As part of delivering our services, we may also use professional software platforms such as Xero, FuseSign and CAS360 to manage client accounts, document signing and ASIC compliance — each of these providers processes relevant client information on our behalf, under their own security and privacy arrangements. We may also be required to disclose personal information where the law requires it — for example, to the Australian Taxation Office or other regulators.
Overseas disclosure
Some of the third-party platforms we use to deliver our services may store or process information on servers located outside Australia. Where this occurs, we take reasonable steps to ensure that information continues to be handled consistently with the Australian Privacy Principles.
Direct marketing
We don't use the personal information we collect to send you marketing material, and this website doesn't operate a mailing list. If that ever changes, any marketing communication will include a clear way to opt out.
Cookies and website tracking
This website doesn't use cookies, and doesn't run any analytics or advertising tracking scripts. The only information collected through the site is what you voluntarily submit via the contact form. Fonts on this site are loaded from Google Fonts, which may receive your device's IP address as a standard, incidental part of that request.
How we protect your information
We take reasonable steps to protect the personal information we hold from misuse, loss, unauthorised access, modification or disclosure, including through the use of reputable, secured software platforms for client records and restricting access to personal information to staff who need it to do their job.
How long we keep your information
We retain personal information for as long as necessary to provide our services and to meet our legal and professional record-keeping obligations — generally a minimum of five years, consistent with Australian Taxation Office and Tax Practitioners Board requirements — after which it is securely destroyed or de-identified.
Access and correction
You may ask us for access to the personal information we hold about you, or ask us to correct it if it's inaccurate, out of date, incomplete, irrelevant or misleading. To make a request, please contact us.
If there's a data breach
If a data breach occurs that is likely to result in serious harm to you, we will notify you and the Office of the Australian Information Commissioner in accordance with the Notifiable Data Breaches scheme under the Privacy Act 1988.
How to make a complaint
If you believe we have mishandled your personal information or breached the Australian Privacy Principles, please contact us first so we can investigate and respond. If you're not satisfied with our response, you may contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au or on 1300 363 992.
Children's privacy
This website and our services are directed at adults and businesses. We don't knowingly collect personal information from children.

We may update this policy from time to time to reflect changes in our practices or the law. The current version will always be available on this page.
